A previous blog post in February of this year outlined a planned migration to a new version by JISC, and the steps that survey owners needed to take in preparation.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>N.B. This blog has been updated to reflect the updated deadline dates given by JISC<\/em>,<em> from February 2024 to July 2024.<\/em><\/p>\n\n\n\n<div style=\"height:20px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h4 class=\"wp-block-heading\">Update on the Migration and Launch<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">We have received notice from JISC of the timeline for the new Online Surveys V3 platform launching, plus some unexpected changes to how the migration will work. All account holders will have received the same communication, and we felt it was important to highlight some key dates and advice for survey owners.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">JISC plan to migrate user accounts in September so they can also access the new version, which is totally separate to the current version. However, they have advised that they no longer intend to migrate existing surveys into the new platform due to technical and cost implications. More detail about this decision can be found in their <a href=\"https:\/\/onlinesurveys.jisc.ac.uk\/helpandsupport\/migration-faq\/\" target=\"_blank\" rel=\"noreferrer noopener\">Migration FAQ<\/a>.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>It is important to understand the timeline for the launch of V3, and be prepared for the current version not being available after 31st July 2024:&nbsp;<\/strong><\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">  <\/p>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><a href=\"https:\/\/blogs.edgehill.ac.uk\/learningedge\/wp-content\/uploads\/sites\/130\/2024\/04\/Migrating-to-Online-Surveys-V3-April-24-Update.png\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"576\" src=\"https:\/\/blogs.edgehill.ac.uk\/learningedge\/wp-content\/uploads\/sites\/130\/2024\/04\/Migrating-to-Online-Surveys-V3-April-24-Update-1024x576.png\" alt=\"\" class=\"wp-image-12093\" title=\"Mid September - Users will receive notification when their account is added to Online Surveys V3. View the guides <a href=\"https:\/\/onlinesurveys.jisc.ac.uk\/category\/helpandsupport\/\" target=\"_blank\" rel=\"noreferrer noopener\">here<\/a>, and once the new version is launched you will be able to familiarise yourself with it. This is because JISC no longer intend to migrate surveys or data.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A reminder that In accordance with the University\u2019s <a href=\"https:\/\/www.edgehill.ac.uk\/document\/research-data-management-policy\/\" target=\"_blank\" rel=\"noreferrer noopener\">Research Data Management Policy<\/a>, research data should be safely retained in a research data repository e.g. <a href=\"https:\/\/figshare.edgehill.ac.uk\/\" target=\"_blank\" rel=\"noreferrer noopener\">Edge Hill Figshare<\/a> . If the research project is funded, this should be in accordance with the requirements of the funder policy.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">JISC provides guidance on <a href=\"https:\/\/www.onlinesurveys.ac.uk\/help-support\/anonymising-your-response-data\/\" target=\"_blank\" rel=\"noreferrer noopener\">anonymising response data<\/a> when downloading responses from the current version.&nbsp;<\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h6 class=\"wp-block-heading\">Survey Designs<\/h6>\n\n\n\n<p class=\"wp-block-paragraph\">If you have a Survey design that, for example, you re-purpose each year, then you will need to download the survey structure. It will then be possible to upload that Survey structure into Online Surveys V3.&nbsp;&nbsp;<\/p>\n\n\n\n<div style=\"height:10px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h6 class=\"wp-block-heading\">Currently Open Surveys<\/h6>\n\n\n\n<p class=\"wp-block-paragraph\">If you have a currently open survey or scheduled survey that will close before 31st July 2024, then you have the option to let it run its course. Prior to the deadline you <strong>must<\/strong> download responses you wish to retain and store securely elsewhere.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you have a currently open survey that is \u2018open-ended\u2019 (such as a form), and it is scheduled to close after 31st July 2024, then you will need to decide on the best way to manage the change.&nbsp;&nbsp;<\/p>\n\n\n\n<div style=\"height:30px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h4 class=\"wp-block-heading\">Further advice<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\">We will update the <a href=\"https:\/\/wiki.edgehill.ac.uk\/display\/ls\/Online+Surveys\" target=\"_blank\" rel=\"noreferrer noopener\">LTD Wiki pages<\/a> with further advice on scenarios once the new platform is available.&nbsp;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Use the <a href=\"https:\/\/onlinesurveys.jisc.ac.uk\/category\/helpandsupport\/\" target=\"_blank\" rel=\"noreferrer noopener\">Online Surveys V3 guidance<\/a> to familiarise yourself with the new platform.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The <a href=\"https:\/\/www.onlinesurveys.ac.uk\/category\/help-support\/?post_type=supportarticle\" target=\"_blank\" rel=\"noreferrer noopener\">guidance for the current version<\/a> includes how to do export a survey structure, and how to download anonymised data for secure storage elsewhere. <\/p>\n","protected":false},"excerpt":{"rendered":"<p>JISC Online Surveys is used at Edge Hill by many researchers and staff for both research and other data gathering purposes.
